Create a Pre-send Checklist to Help Send The Perfect Email

No need to be a scaredy-cat when you’ve got a solid checklist by your side.

We’ve all felt it: butterflies, sweaty palms, even the paralysis of fear as you get ready to hit Send on your latest email. Because what if you didn’t do something right? What if you forgot something? What if Mars retrogrades in Aries at the exact moment you push that button and you knock the planet off its axis?

All right, so that last one is a little less likely, but I’m not going to lie—sometimes it feels that way, doesn’t it? Luckily, you’re not alone. As marketers, we’ve all been there. I sure have. And even those who have been doing this for years have days when their finger hovers uncertainly over the Send button.

So, because we’re a group who loves to make things better for our email marketing and marketing automation friends, I put out a call for tips on putting together the ultimate pre-send checklist. As I knew they would, a wealth of colleagues who cumulatively represent years and years (and years!) of experience responded to my call with some of the best tips and suggestions you’ll find. (In fact, many of the tips went onto my own pre-send checklist which I will fancy-up and link here soon.) So settle back and get ready to raise your pre-send checklist game!

“Double-check your messages and workflows before hitting send: Did you know that there are different ways to write ‘one thousand’ with numbers? In the United States, they would write it as follows: 1,000. However, in Spain they would do it as follows: 1.000. In short, what for some people is a dollar, for others it is a thousand dollars. The legal consequences of such an error can be devastating.

“If it is not a plain text email, use buttons for your CTAs. Make the CTA obvious.

“Use video to increase CTR and even better if the lead can land on a focused landing page.

“Use personalized video to get even higher CTR (around 164% more effective than generic videos).

“Create follow-up messages (and retargeting or any other type of remarketing): Here is where you win the game. So you created this absolutely amazing campaign. You double-checked everything. It’s perfect. The audience, hand-crafted. The message moves hearts, minds, and pockets. You hit ‘send.’

“That’s it. Campaign sent. Mission accomplished. :-/. Always, always, always make sure to create follow-up stages or campaigns based on user behavior.

“Here are a few recommendations, focused on personalization: allocate the appropriate time: Creating a personalized marketing campaign that makes sense takes time. Often, creativity takes time, and production does too (copywriting, videos, images, research, etc.).

“Create buyer personas (and augmented buyer personas): It is tempting to just keep the [First Name] field and say ‘Voilà!’ There is a lot more behind that [First Name] dynamic tag. There is, actually, a person. Use the power of context to create robust anchor messages. (This is what I call ‘translating’ the data into something that makes sense to the individual, aligned with your business goals.) Easy example: Room for two adults and 1 baby = ‘Did you know that your room has a microwave?

“Choose the right channel, even if sometimes it’s not email. Choosing the wrong communication channel can cost you a lot of money. Sending personalized emails is really cost-effective but you don’t want to send emails or any other type of message to people that won’t actually read it. Right? For example, SMS marketing seems to be back, WhatsApp marketing is huge nowadays. In the end, it’s a numbers game.”
